Board Training

Minutes

  • As a friendly reminder, please be sure to submit and file all meeting agendas and minutes to the Clerk and Recorder’s Office within 30 days after the board has approved the minutes.
  • Under Montana’s Open Meeting Law, MCA 2-3-212, minutes and agendas must be made available for the public.
  • We ask that boards email their agendas and approved minutes to [email protected].
  • These files must be scanned in 300 dpi black & white .pdf or .tiff format. They can also be mailed to: Clerk and Recorder 200 W Broadway Missoula, MT 59802

  • All of the above applies, but please send all minutes and agendas directly to the Lands & Communities department.
  • Agendas and minutes should be sent to [email protected].
  • LAC staff post agendas and approved minutes to OnBoard.
  • LAC Staff will send minutes to the Clerk and Recording Office for further handling.
  • Please send agendas to us at least one week (7 days) before your meeting.
  • Please send us your approved minutes within a week (7 days) of their approval.

Oaths of Office

Elected members (like those that special districts and community councils) are required to submit oaths of office. 

Pursuant to MCA 1-6-101, please be sure each new member (at the beginning of their term) completes an oath of office form. They must also be sworn into office. New members can complete their oath with an elected official or with any notary to be valid, whether at your regular meeting, with a local notary, or within the Elections Office, Missoula Board of County Commissioners’ Office, Lands and Communities Office or Clerk and Recorder/Treasurer’s Office.

Members renewing their term must also file an oath of office form. Pursuant to MCA 7-4-101, we request that each oath of office be recorded with the Missoula County Clerk and Recorder’s Office. Originals of Oaths of Office and notarized documents need to be submitted in person at the Missoula County Clerk and Recorder's Office, or mailed to Clerk and Recorder 200 W Broadway Missoula, MT 59802.

Members may be sworn in by ANY notary. All clerks in the Clerk and Recorder's Office are notaries and have agreed to waive any notary fees if members would like to be sworn in and have their oath recorded at the Missoula County Courthouse.
